Most small businesses don’t realise that they need a privacy policy included on their website but if your company holds any personal data such as names and email addresses, you will need one.
The term refers to information detailing why you require people’s personal data, what you plan to do with it, how long you are going to keep it for, and if you plan to share it with anyone else.
It is always important to explain what you are planning to do with people’s data so that they know in advance as this helps to build trust, avoids any confusion, and ensures everyone knows what to expect.
There are very few situations when privacy information isn’t needed.
As stated above the information that needs to be provided in your privacy policy includes; why you’re processing people’s personal data, how long you’ll be keeping it for, and who you’ll be sharing it with.
You can create your own privacy policy very quickly. We always include a privacy policy page when building websites for clients that includes a template ready to be personalised and adapted to suit their business, charity or organisation.
Everything you include in your privacy policy needs to be simple to understand and easily accessible on your website. It doesn’t have to be a page included within your main navigation but just a link displayed on the footer menu or bottom banner of your website.
You also need to include a cookie policy, this can be part of the privacy information, so that your website visitors, users and customers are instantly notified that cookies are being used, and explain what they do. A cookie notice pop up is always included as part of our website creation too.
If the cookies aren’t strictly necessary to run your website you will need the user’s agreement to use them.
You will need to review your privacy and cookie policy regularly to make sure everything is up-to-date.
Providing privacy information is one of the key requirements of the UK GDPR. Your privacy policy lets people know what you’re doing with their personal data. It gives them plenty of reassurance about how you’ll keep it safe, whether you’ll share it with anyone else and what you’ll do with it when it is no longer required.
Data protection is the responsibility of every business owner, whether the size of the company is small, medium or large.
Everyone has a right to know how you will be using their information before they provide it.
